1. Who's who
These Terms & Conditions ("Terms") form a legally binding agreement between you ("you", "the client") and The Vivi Frequency ("we", "us", "our"), an animal communication service operated by Viviana Victoria, a sole trader based at Unit 1 – 11 East Avenue, Blantyre, South Lanarkshire, Scotland.
By using this website, booking a session, attending a workshop, joining the academy, or attending a retreat, you accept these Terms. If you don't agree, please don't use our services.
2. Nature of the work
The Vivi Frequency offers intuitive and energetic communication work with animals — alongside reflection, education, and integration support for the people who care for them.
This work is not a substitute for veterinary care, medical advice, behavioural training, or psychological therapy — for either you or your animal. If your animal is unwell or behaviourally at risk, please see a qualified vet or behaviourist first.
Sessions explore what your animal may be communicating about emotion, sensation, relationships, or change — through Viviana's intuitive practice, supported by nearly two decades of daily animal immersion. Findings and impressions are shared in good faith and offered as one perspective, not as diagnosis or prescription.
3. Bookings & payments
Sessions, workshops, courses, and retreats are booked via this website or by mutual agreement.
- Distance Reading — £111 / 60 minutes
- Deep Discovery Call — £222 / 90 minutes (with optional £111 healing plan add-on, £333 total)
- Listen with Your Heart — £222 in-person / £111 online
- Workshops & courses — priced per event, confirmed at sign-up
- Retreats — priced per retreat, confirmed at sign-up; deposit required
Payment is due in full at the time of booking unless otherwise agreed in writing. Payments are processed securely via Stripe (or another approved payment provider); we do not see or store your full card details.
Prices may change from time to time. The price quoted at the point of booking is what you pay — we won't surprise you with a different amount later.
4. Cancellations, rescheduling & refunds
We're a small operation and your booked time is held for you. The following policy keeps things fair:
- Cancel or reschedule with 7+ days' notice — full refund or free reschedule.
- 3–7 days' notice — 50% refund or free reschedule.
- Less than 72 hours' notice / no-shows — no refund. We'll do our best to reschedule once at half the original fee, where practical.
- If we need to cancel (illness, emergency) — full refund or first-available reschedule, your choice.
- Statutory cooling-off (UK): as services are usually delivered within 14 days of booking, we ask for explicit acknowledgement that the cooling-off period is waived for sessions booked within 14 days. You can change your mind at any time before the session itself begins per our policy above.
Retreats
Retreat deposits are non-refundable but transferrable to a future retreat within 12 months. Final balances are due 60 days before the retreat. Cancellations within 30 days are non-refundable unless we can fill the place, in which case a partial refund (less admin costs) will be offered.
5. How sessions work
Distance readings happen via video call (Zoom, Google Meet, or similar) or by audio note exchange, agreed at booking. In-person sessions take place at a mutually agreed location.
You'll receive booking confirmation and joining details by email. It's your responsibility to be ready on time, in a quiet space, with a stable connection. Sessions begin at the booked time and end on time so we can hold the next person's space.
Some sessions include a written follow-up ("written journey of findings"). Where promised, this is delivered within 7 working days of the session.
6. Academy, workshops & courses
Workshops, multi-week courses, and the academy programme are delivered live (in-person or online) and may include recordings, reading material, or community access.
- Place is confirmed once payment is received.
- Content shared during academy/workshop sessions is for your personal learning only.
- Recordings, when made available, are for your private use; please don't share, repost, or sell them.
- If we have to postpone an event for any reason, you'll get the choice of attending the rescheduled date or a full refund.
7. Retreats
Retreats include accommodation, group sessions, meals, and structured activities as listed at booking. Some elements (travel to/from the venue, optional excursions, additional therapies) are at your own cost unless explicitly stated.
Attendees must be 18+ unless otherwise specified, in good general health, and able to participate in the planned activities. Please disclose any health conditions, allergies, or accessibility needs at the point of booking.
Travel insurance is strongly recommended; we are not responsible for travel disruption or insurable losses.
8. No outcome guarantees
Animal communication is intuitive work. We share what comes through with care, honesty, and humility. We do not guarantee:
- Specific information being received about a specific topic
- Behavioural changes in your animal following a session
- Resolution of medical, behavioural, or relational issues
- That what we share will match your existing understanding
We do guarantee that we'll show up fully, hold the space respectfully, and share what comes through honestly. That's the work.
9. Animal wellbeing & safeguarding
Animal welfare is non-negotiable. By booking, you confirm:
- You are the animal's guardian, or have permission from the guardian, to discuss and explore communication around them.
- You are not using this work to delay or replace urgent veterinary care.
- You agree that if anything raised in a session indicates the animal may be in pain, distress, or at risk, you'll consult a vet promptly.
We reserve the right to decline or end a session if we're not satisfied this is being respected.
10. Recordings & intellectual property
Sessions may be recorded by either party with the other's consent, agreed at the start of the session.
- Recordings, written follow-ups, course materials, and Viviana's notes remain her intellectual property; you receive a personal-use licence.
- You may not republish, repost, sell, or train an AI model on session content without prior written consent.
- You may share short reflections about your own experience freely (e.g. on social media) — but please don't quote Viviana's exact words without asking.
- The website, photography, written content, and brand identity of The Vivi Frequency are protected by copyright and trade-mark rights.
11. Liability
We carry appropriate professional and public-liability insurance.
Our liability for any claim arising from these Terms or the services we provide is limited to the fees you've paid us in the 12 months preceding the claim — except where law prevents such limitation. Death or personal injury caused by our negligence is never excluded.
We are not liable for:
- Decisions you make based on what was shared in a session
- Outcomes for your animal where you have not also followed appropriate veterinary or behavioural advice
- Travel disruption, accommodation issues, or third-party costs related to retreats
- Loss of business, profits, or indirect/consequential losses
Nothing in these Terms limits your statutory rights as a consumer under UK law.
12. Website terms of use
This website (vivifrequency.com) is provided for information about The Vivi Frequency. By using it, you agree:
- The content is owned by Viviana Victoria — please don't copy, reproduce, or republish without permission.
- You won't attempt to hack, scrape, or disrupt the site, its forms, or its services.
- External links are provided for convenience; we're not responsible for the content of external sites.
- The site is provided "as is"; we don't guarantee continuous availability or freedom from error.
13. Changes to these terms
We may update these Terms from time to time. The "last updated" date at the top of this page will always reflect the current version. For significant changes affecting active clients (e.g. retreat attendees), we'll notify you by email at least 14 days in advance.
14. Governing law
These Terms are governed by the law of Scotland. Any dispute that we can't resolve directly is subject to the non-exclusive jurisdiction of the Scottish courts. We always prefer to talk it through first.
